With Express Book, guests can simplify the booking process by choosing menu items and providing a payment method. This feature enables venues to either accept or decline the event request within a 24-hour timeframe.

Express Book allows guests to submit a booking request for a specific space based on your availability, and then select menu items, agree to polices and submit a credit card to pay a deposit.

1. Connect Stripe (Required for Express Book)

Connecting Stipe is required to use Express Book. In Express Book under Settings, click "Connect" on the Accept Payments section if you don't already have Stripe connect.

You can view your Space profile page in Settings > Spaces and clicking the View Space Profile button on the Edit Space sidebar.

In the Edit Menu Item sidebar, check the "Show on Express Book" checkbox. If "Show on Guest Menu" is already checked, by default, "Show on Express Book" will also be checked.

Setting up Express Book

Your Org Profile page lets guests view all your spaces across multiple venues and filter space availability by date, time and guest count.

Your Org Profile is populated by the spaces you have set up in

The venue profile allows guests to view important information about your venue, helping them plan their event efficiently and ensuring an enjoyable experience.

Guests can explore your Venue Profile to discover comprehensive details about your space, and effortlessly filter options by date, time, and guest count to ensure availability matches their needs.

How do I View and Share my Venue Profile?

You can view your Venue Profile by clicking the 

 button located on the top right of your Venue Profile settings page. This will open your Venue Profile in a new tab.

Once you've obtained the URL for your Venue Profile page, you can easily share it or integrate it into links on your website. For example, you could create a "Check Availability" button that directs guests to your Venue Profile page, where they can conveniently filter availability by space, date, time, and guest count.

Your Space Profile acts as a comprehensive overview for guests to conveniently access and explore in-depth information about your space. This includes viewing specific space details, checking real-time availability, and effortlessly submitting event requests. By offering a seamless and user-friendly experience, your Space Profile enhances the booking process for potential clients and streamlines the management of event inquiries.

To personalize your Space Profiles, navigate to 

. From there, you can either click on "Add" to create a new space or select an existing space that you want to modify.

. If the event is not Accepted or Declined within 24 hours, the event will expire and disappear from your event dashboard. 

Accepting and Declining Express Book Events

Pending Express Book requests will appear in their own tab. If an Express Book request is accepted, it will automatically move into Active Events as a Confirmed event.

Once you click Accept, you will be prompted to charge the credit card submitted with the event request to complete the acceptance.

Once you click Decline, you will be prompted to write an optional Decline Reason message that will be included in an email notification.

After the event is Declined, three things will happen:

The signature and payment method will be deleted from the event.

Express Book events cannot be modified before they are Accepted/Declined

. However, if you would like to modify the event afterward, you can Accept the event and then discuss changes with the guest. You can also Decline the event and find it in your Lost Events Report. 

Then click into the event, change the Status to "Lead" and modify from there!

How Express Book Works for Venues

Express Book leads your guests through four simple steps.

Guests can check availability and start an Express Book request from a Space Profile by filling out the date and time, and clicking 

Spaces that are available for Express Book will have an "Available for Express Book" badge.

After the guest has selected an available date and time, they will enter 

. This form collects the guests name and contact information, their event name, group size and description of their event. Currently, this form is not customizable.

Next, guests are prompted to select their menu items. They can add a menu item by clicking on it or the + to open the menu detail popup, where they can select choices or add-ons, and the quantity before adding it to their cart.

Guests must select at least one menu item to continue to the next step.

If the venue has a default F&B Minimum and/or Deposit configured in 

, it will be applied here. Guests will be charged the minimum deposit amount to submit the booking request if the total items added to the cart don't meet the minimum. 

Once items are added to the cart, the cart sidebar can be accessed by clicking the cart icon at the top right of the page. 

Guests can edit or delete menu items by clicking the item from the Order Summary.

To complete the event request, guests can click Checkout from the cart sidebar.

Step 4. Sign and enter Credit Card for deposit
