Instructions for setting up your proposal defaults, including deposit, F&B minimums, note templates, proposal locking & policies.

How do I set up my default deposit & F&B minimum? 

Click the check box next to F&B minimum to establish a default F&B minimum to be included on all proposals. Enter the minimum in the text box.

In the Deposit drop-down, select Amount or Percentage. In the text box, enter the amount of percentage of your default deposit.

For our Premium subscriptions, if you are utilizing ACH payments, this is where you can select your default payment method (ie Card or ACH). Please refer to this help article 

Click the red "Add" button to create a new F&B minimum. You can list out as many different F&B minimums as you'd like.

How do I apply my different F&B minimums?

Navigate to an event and click the Proposal tab.

Click the Edit button to the right of the Totals box.

In the F&B minimum drop-down at the top of the box, select which F&B minimum you'd like to apply to this event and then click Save.

What is Proposal Locking and how do I set it up?

Proposal locking is where you can select when the guest can no longer make modifications to their proposal. Your options are:

Guests can only change their selections of choices & add-ons that are associated with the menu items on their proposal. If the guest wants to make a change after the proposal is locked, they will need to reach out to you to make the edits. 

To set up Proposal Locking, click your preferred locking default from the drop-down.

Note Templates are great solution if you find yourself creating the same set of notes for your staff or timeline for your guests! 

To create a new Template, click the Add button in the Notes Templates box. 

Give your template a name and then use the text editor to draft the Template. Click the Save button on the lower right corner to save the template. 

Once you have made a notes template, it can easily pull into the notes section within an event. 

How do I apply a notes template to an event?

Navigate to either Proposal Notes or Internal Notes and select "Templates"

Update your notes as needed, and then click the red "Save" button on the top right corner of the notes box.

Proposal locking ensures that guests do not go in to make unknown choices/add-ons to their event without you being contacted !It also is a great way to give guests the flexibility to pick their choices and add-ons for a certain amount of time. 

You will have 4 options for proposal locking:

 will keep your proposal open at all times.

 will lock the proposal when the guest signs their agreement, and will prompt them to contact you with any changes.

 will lock the proposal 2 weeks before their event date, and will prompt them to contact you with any changes.

 will lock the proposal 1 week before their event date, and will prompt them to contact you with any changes.

Every event in the system will adapt these settings, there is not currently a way to have certain kinds of events lock at different times. 

What is Proposal Locking?

On our Professional and Premium plans, there is the ability to add multiple policies in the system, and select which policy you would like to apply to which event.

The “default" policy is what is in the system already, and is the policy that will automatically apply to each event. You should keep the name of the policy “default” in order to be able to differentiate what will automatically apply, however the policy is completely customizable!

Click on the drop down menu and navigate to “new policy”

Edit the policy and policy name how you would like by simply clicking into the field!

How to I add a different policy to an event?

To apply a different policy for an event:

Click the “edit” button next to totals

Once the side bar pulls out on the right, scroll all the way down

Select the dropdown, and click what policy you would like to apply.

Once again, head to settings → proposal settings, and use the dropdown to select the policy you would like to delete. Select “edit,” and then select “delete.”

Deleting a policy will remove it from every event with that policy in the system. The default policy will be applied to events that had the deleted policy applied.
