For our Premium customers, you are able to communicate internally with your team for each event!

Team Messages are easy to use, and a great way to keep everything for each event all in one place. You can notify team members of to-dos, important event updates, and changes for the event.

Within each event, you will see the "messages" tab all the way to the right.

You can @mention your team in order for them to receive a notification about their messages in their email. Once you start typing, all team members in the system for your venue will pop up!

Your whole conversation will live right in this messages tab, making it easy to look back on conversations you have had regarding this event, and keep team members on track!

You can toggle notifications on or off for team messages just by heading to settings → profile, and scrolling to the "notifications" portion of the page.

Team Messages

Once a guest signs a proposal, you and the guest will receive a notification in your emails that they have signed the agreement. However, you are always able to go into their event to find a copy of the agreement. 

Scroll to "Saved & Uploaded Files" and you will see a document labeled "Agreement"

Every time a guest signs a new agreement, it will be saved under this tab. When you click on this agreement, it will open a PDF version. At the bottom of the document, there will be a time stamp of who signed the document, and when!

Where Can I Find a Copy of a Signed Agreement?

Duplicating events is extremely helpful for when you have a repeat guest throwing an event, or if you are planning an event that is similar to one you have already built!

What pulls over when I duplicate an event?

The basic event information (contact, time, date, group size, etc.) will all pull over, as well as custom fields, proposal and internal notes, and the actual proposal. Email threads, tasks, and team messages will not copy over. 

Head to the event you would like to duplicate

Select the three dots next to the event name, and select "duplicate event"

Once the event is. duplicated, it will bring you to a new event named "copy of [event name]" and you will be able to adjust information accordingly!

What if the event I duplicate is for a different contact?

Once you duplicate the event, and need to change the contact, it is important to update the contact before you do anything else. DO NOT change the contact from the previous event. You will want to follow the steps below:

Select "add contact" and a side bar on the right will appear. 

Fill in the information for the new contact accordingly. 

Note: if the contact is already in the system, as you start typing, their information will appear. 

Once you have done so, click the pencil icon next to the new contact

The side bar on the right will reappear. Scroll all the way to the bottom and select "make primary." This will make the new contact the one that is associated with the event

Select the pencil icon on the old contact, the right bar will appear. Scroll to the bottom, and select "remove."

You can now go through the duplicate event and make any edits! If you have any questions, email support@perfectvenue.com.

How to Duplicate an Event

There is now a system field labeled "event type" in Perfect Venue! This will allow you to easily keep track of what kind of events you are doing and pull an event type report! The event type will automatically be in each event, but you also have the option to add it to your contact form for guests to fill out. 

How do I add event type to my contact form?

 to adjust the event type system field. 

 to create a custom report. For an event type report, we would recommend making sure you have the status filter set to "confirmed" and "completed," and have the event name, group size, total payment, and event type columns visible. 

please note: the event types are currently a set list that is unable to be edited. If you would like to see a list that is editable, please add your vote to the feature request

Need to apply a discount to a proposal? Here's how!

Head into the event you'd like to add a discount to and click into the Proposal

From here, you can easily add in a discount in dollar amount

Click into the checkbox to ensure the discount is applied and hit save!


The discount will now apply to the event's total!

Note: There is currently not a way to add in a discount as a percentage, so if you would like to see this feature, please submit a vote
